The individual in this role will support the management team in the coordination, organization, and oversight of administrative functions within the Referral & Booking Management Centre, with a primary focus on recruitment, onboarding, and continuous training for the Community Diagnostic Centre. This position is crucial for managing patient referrals to the Trust, ensuring a streamlined referral and booking process that supports various business units and clinical teams.

The successful candidate will receive comprehensive training across all relevant areas and will participate in an in-house training program designed to integrate them into the Administration Team effectively.

A proactive and adaptable mindset is essential to navigate the evolving challenges of the healthcare sector, particularly with an emphasis on digital methodologies.

Key Responsibilities

The primary responsibilities associated with this role include:

Overseeing the daily supervision and onboarding of staff within the Referral & Booking Management Centre Community Diagnostic Team. Monitoring the training and induction processes for new team members. Collaborating with the Assistant Manager to distribute workloads and organize weekly staff schedules. Generating and reviewing daily and weekly reports to ensure tasks are completed. Assisting the Assistant Manager with performance evaluations and ensuring that core competencies for administrative staff are maintained. Supervising the daily operations performed by staff and ensuring accurate data entry into systems. Managing personal workload by prioritizing tasks to meet objectives and deadlines. Ensuring the delivery of an effective and efficient service that meets the needs of clients, patients, staff, and other stakeholders. Adhering to Trust policies and procedures and all departmental operational protocols. Addressing any potential issues and escalating them to the Assistant Manager/Manager/Waiting List Managers as necessary.

Job Responsibilities

Assisting Department Managers in overseeing administrative and clerical staff in accordance with Trust personnel policies and procedures. Maintaining personal records, including holiday schedules and monitoring staff attendance in line with Trust policy. Ensuring clerical staff comply with all Trust policies and procedures, including Patient Access Policy OP12, Confidentiality, Health and Safety, and Security. Taking initiative in addressing issues or trends related to the daily operations of the service, reporting to the Assistant Manager or Manager as appropriate. Supporting the management team with accurate statistical data as required. Leading the coordination of staff availability across all teams and proactively addressing any staffing challenges by informing the Assistant Manager or Manager. Responsible for organizing and delivering training, maintaining efficient training records for each staff member to ensure they are competent and confident in their roles, thus providing a high-quality and confidential service. Monitoring all departmental activities to ensure maximum efficiency in delivering a customer-focused service. This role will require some work at the Community Diagnostic Centre. Availability to work across a 7-day schedule from 8 am to 8 pm is essential.

Essential Qualifications

Proficient in Microsoft Office applications. A solid educational background, including English and Mathematics. Previous supervisory experience in a healthcare environment. Experience in Change Management.

Desirable Qualifications

Familiarity with appointment booking systems in a healthcare context. Understanding of diagnostic targets.
