Sales Administration Manager

This is a management level role that will directly manage the ICT Sales Admin Desk business plan and strategy for the Business Solutions division. The successful candidate will provide leadership for a team of desk-based admin people concentrating on ICT/UC & Content Services sales support, quotes, and order processing.
The Sales Administration Manager will be responsible for meeting and exceeding the performance objectives directly aligned with the overall Business Solutions strategy. They will provide management, mentoring, and coaching to the team to support them in achieving their Key Performance Indicators (KPIs).
Key Responsibilities:- Communicate and promote the vision and plan to the team and wider business.
- Provide effective leadership, managing staff and making decisions as appropriate to achieve all individual and team objectives and to meet the overall Company Strategy.
- Lead regular meetings with the team to review their KPIs.
- Ensure regular 1-2-1 meetings take place with team members to coach, train, and develop them, and review their KPIs, and general internal and external customer communication.
- Take responsibility for the recruitment and ongoing development of the team.
- Work with other internal Kyocera departments to ensure prompt and satisfactory response and resolutions to all customer queries and issues.
- Maintain timely and effective communication with staff, peers, and senior management as required.
- Support internal stakeholders to input into the overall Sales Strategy.
- Sponsor key client engagement and build relationships with internal and external stakeholders to support the sales team.
- Sets a positive example for the team in areas of personal character, commitment, personal organization, skills, and general work habits.
- Customer relationship management in relation to deliveries to customers and dealing with issues arising at implementation and during the life of the customer contract.
- Ensure quotes for maintenance contracts are prepared and renewed in a timely manner.
- Supplier relationship management, including stock and logistics issue resolution.
- Ordering from distribution channels or direct from main suppliers.
- Ensure maximum discounts or rebates are negotiated by distributor or supplier with sales.
- Ownership of document management systems and processes related to quotes, sales order processing, maintenance contracts, billing, and invoicing.
- Support sales optimization and productivity in the context of improving back-office tools and processes.
- Ensure accuracy of sales and service billing, reduce errors.
- Balance and optimize workload across the team.
- Experience of managing a team of 4 or more.
- Have previously worked within an ICT or MSP environment.
- Experience of using CRM tools (i.e. Salesforce) and competent in using all MS office programs, Word, PowerPoint, Excel, SharePoint, Teams, etc.
- Commercially aware and able to create customer propositions which are flexible, solution-oriented, and in line with Kyocera business requirements.
- Able to build rapport with customers and demonstrate strong relationship management skills.
- Adept at prioritizing workloads, time management, and utilizing proven organizational skills.
- Relevant business experience preferably across a range of back-office functions in a medium-sized business.
- Experience of the process to quote and delivery of goods and services within an ICT business is required.
- Experience managing and developing teams of staff is required.
- A good understanding of the sales process from customer order to invoice to cash is essential.
- Experience of delivering change projects in a fast-paced environment is desirable.
- A proven ability to manage a varied workload and prioritize effectively is required.
- Experience working on an ERP implementation and using a mainstream ERP system in-life would be beneficial.
- Strong commitment to and the achievement of business goals.
- Excellent people management skills are required.
- High levels of proficiency in the use of Microsoft Office applications (Outlook, Excel, PowerPoint, etc.) is essential.
- The ability to work towards deadlines is essential.
- Ability to grasp business complexities and solve problems in a proactive manner.
- Awareness of how the role impacts on company performance. Considering the needs of all stakeholders, pre-empting potential situations, and taking action to avert them. Proactively seeking to improve the service provided to colleagues and/or customers.

- Salary (Competitive).
- 25 days holiday (All statutory bank holidays relevant to regional country) - 1 extra day after 5 years. Part-time/temporary employees is a pro-rata equivalent.
