Hours: Average of 37.5 hours weekly, with shifts spanning 4, 5, or 6 days within a 7-day period.

The Role

We currently have an opening within our Facilities Management team for a dependable, diligent, and proactive Facilities Coordinator. This role presents an opportunity for a self-driven individual to join a vibrant team, ensuring the cleanliness and readiness of our educational facilities for daily operations as well as evening and weekend events.

The successful applicant will collaborate closely with the Housekeeping team to uphold high standards of site appearance and promptly address any arising issues, while also ensuring site security, managing traffic, assisting with room arrangements, and general porterage duties.

Key Responsibilities

Facilities Management

  • Serve as the Duty Coordinator as needed, which includes:
    • maintaining high standards regarding the site's appearance at all times
    • responding to fire alarm or security alarm activations according to established procedures
    • addressing urgent requests from management and various departments
    • overseeing the site during off-hours and responding to inquiries from visitors and groups utilizing the facilities
  • Moving furniture and equipment throughout the facility as necessary
  • Preparing spaces for various functions, including arranging furniture
  • Sorting and delivering mail items
  • General porterage, managing deliveries and their distribution

Health and Safety

  • Conduct all tasks in compliance with health and safety regulations and the organization's procedures
  • Participate in health and safety testing and inspections as required
  • Remain vigilant regarding health and safety while navigating the site and report any potential hazards to the appropriate office

Security and Fire Safety

  • Ensure site security by locking and unlocking various buildings and gates as required
  • Manage the setting and unsetting of the facility's alarm systems
  • Actively respond to fire alarm activations and security breaches
  • Inspect doors and windows, reporting any security concerns to management
  • Ensure safety protocols are followed during event setups

Oversight of Facility Functions and Rentals, including responsibilities for:

  • Emergency evacuations in case of fire alarm activations (coordinating with emergency services)
  • Ensuring the security of the premises
  • Managing traffic and parking during events

Cleaning Duties

  • Perform daily cleaning tasks as directed by the Facilities Manager
  • Empty bins and remove litter from internal and external areas
  • Assist with deep cleaning during holiday periods
