Job Summary

We are seeking a highly skilled and organized Executive Assistant to provide comprehensive support to our Leadership team in London. The successful candidate will be responsible for ensuring the smooth operation of our office, managing vendor relationships, and coordinating cross-functional teams to achieve project goals.

Key Responsibilities
  • Executive Support:
    • Provide administrative support to the Leadership team, including diary management, travel arrangements, and communication.
    • Handle personal correspondence, appointments, and travel arrangements as required.
  • Office Management:
    • Oversee the day-to-day operation of the London office, including maintaining office supplies, managing vendor relationships, and ensuring a professional and welcoming environment.
    • Act as the point of contact for any office-related queries and support requests.
    • Manage office budget and ensure cost-effectiveness.
  • Project Management:
    • Assist in the planning and execution of special projects, including tracking progress and ensuring deadlines are met.
    • Coordinate cross-functional teams to achieve project goals and align with the CEO and Leadership Team's vision.
  • Event Management:
    • Plan and execute company events, including annual Summer and Christmas parties, and coordinate UK Leadership offsite meetings.
    • Manage budgets for events and offsites, ensuring cost-effectiveness while delivering high-quality experiences.
  • Additional Responsibilities:
    • Support ad-hoc projects and tasks as required by the Leadership team.
    • Ensure a seamless handover of duties at the end of the maternity cover period, providing comprehensive notes and guidance to the returning EA.
    • Deep understanding of managing complex schedules, projects, and tasks with minimal supervision.
    • High level of proficiency with G-Suite and other relevant software.
