Key Purpose of the Role
The individual in this position is tasked with managing billing processes, debt recovery, and information oversight across multiple Defence contracts. These contracts are among the most significant within BT, characterized by their complexity and secure nature, encompassing a range of regional volume agreements within Business M&PS.
As part of a dedicated team, the individual will take the lead on Defence invoice generation, management information (MI), debt recovery, and the resolution of inquiries. This role is accountable to the Business Operations Manager for the accurate production of invoices, the compilation and delivery of Billing MI, and the resolution of any queries. Future responsibilities may also include Supplier Validation, Cost Validation, and the coordination of Contract Governance Reporting (CGR).
It is important to note that Defence billing activities must be conducted from a secure workspace. Remote work or flexible arrangements are not permissible due to stringent security requirements.
Key Responsibilities
- Possess substantial experience in Defence billing or knowledge of Defence Contracts from related fields, such as Service Request Management, with an understanding of specialized secure systems.
- Demonstrate extensive familiarity with various Defence billing systems, including their inputs and dependencies.
- Exhibit exceptional data manipulation skills, capable of handling large datasets (approximately 650,000 lines) using MS Excel and MS Access to produce critical MI.
- Oversee the testing of new billing products, enhancements, and pricing adjustments, with knowledge of secure environment testing being advantageous.
- Coordinate the monthly Defence billing cycle, managing approximately £25 million in billing, ensuring accuracy and timely resolution of issues.
- Engage in internal customer management by collaborating with various BT functions, effectively addressing customer inquiries and resolving data discrepancies in MI reports.
- Maintain strong relationships with key external customers regarding the services provided under the contract, representing Defence Billing in relevant forums.
- Handle exceptions by documenting, investigating, and facilitating the resolution of any billing disputes or queries, ensuring continuous improvement and customer satisfaction.
- Proactively manage personal development and enhance skills relevant to the role.
- Ensure that all billing and information management processes are established and updated as necessary.
- Provide backup support for other team members during temporary absences.
- Coach and mentor team members as needed.
- Adhere strictly to all project security protocols.
- Process all billing files to standard and within deadlines.
- Deliver accurate billing statistics and reports as required.
- Resolve discrepancies in data promptly and accurately.
Skills Required
- Full-time availability to work in a secure Defence office.
- Mandatory SC Clearance.
- Advanced skills in data manipulation.
- Willingness to travel for training purposes.
- A minimum of three years of proven experience in supporting Billing/MI requirements within a secure environment.
- Strong ownership of issues and accountability for responsibilities.

The individual will lead Defence billing efforts, ensuring timely bill production to mitigate cash flow impacts and enhance customer satisfaction. Accurate billing is crucial for maintaining positive relationships with both internal and external customers.
