Job Title: Finance Officer

Job Summary:

We are seeking an exceptional Finance Officer to join our high-performing team at Recruiterwise. As a key member of our finance function, you will be responsible for providing excellent financial support to our organisation.

Key Responsibilities:

  • Manage financial processes and systems to ensure the smooth running of our finance function, including weekly digital and physical filing of financial documents.
  • Keep up-to-date and accurate records of financial transactions on Excel and Sage 50 accounting, including the input and coding of purchase invoices and orders, sales invoices, and bank transactions.
  • Raise and issue sales invoices, follow up outstanding invoices, and resolve any issues where necessary and appropriate.
  • Liaise with suppliers and creditors to maintain relationships as part of cash flow management.
  • Check and reconcile purchase invoices ready for payment, investigate and resolve any issues.
  • Prepare the weekly payment run for approval and draft payment on our online banking.
  • Manage the purchase order process, ensuring compliance with our policy.
  • Complete regular bank, petty cash, and credit card reconciliations.
  • Maintain the fixed asset register.
  • Support the preparation for the annual audit, including fixed asset records.
  • Train colleagues on finance procedures and protocols and advise colleagues on finance queries.
  • Liaise with staff and volunteers to process expense claims accurately and timely.
  • Field and respond to finance enquiries and switchboard.
  • Support the Finance Manager in reporting back on budget-to-budget holders.
  • Analyse our donations, ensuring accurate income allocation and consider any Gift Aid submissions.
  • Set and manage the office stationery budget and manage office stationery for the organisation.
  • Support departments in providing detailed financial analysis work which aids their work.
  • Manage car hires, train booking requests, credit card and staff expenses reconciliations.
  • Support our Trustees in booking travel and hotel stays during the year.
  • Support and attend events, including bookings for internal and external activities.
