Key Responsibilities:

The Project Coordinator will operate under the guidance of the Contract Manager or their appointed Superintendent to facilitate the oversight of significant projects within the managed fleet. Adhering to the company's Safety Management System (SMS) and utilizing the management of change protocol, the Project Coordinator will supervise the project, ensuring compliance with all SOLAS and MARPOL standards in a measurable timeframe and budget.

They will plan for budget oversight and document revisions, keeping project stakeholders informed about progress and any deviations from the established plan. The Project Coordinator will ensure that adequate resources and shore-based support are organized effectively.

They must be cognizant of their obligations under section 4d of the company's ISO 45001:2018 Occupational Health and Safety management system.

Additionally, they should understand their responsibilities under section 5.3.7 of the company's ISO 22301:2019 Business Continuity Management System.

They will assist in monitoring the procurement of project components to ensure timely availability.

Specific Duties:

The Project Coordinator will be accountable, under senior management, for the projects assigned in accordance with the company's quality and safety management system policies to guarantee timely delivery. They will engage with all stakeholders to communicate feasible timelines and budgets. They will prepare and ensure that contractors and suppliers execute their quoted work scopes as per the quotations and company timelines.

They will develop project budgets alongside scheduled expenditures for all project components and ensure that monthly cumulative expenditures (both actual and estimated) against the relevant budgets are produced for immediate variance identification.

They will liaise with suppliers of new equipment to obtain estimates of time and cost requirements for materials and workforce arrangements necessary for task execution. They will arrange and conduct site visits to facilitate comprehensive estimations and compile comparison sheets for suitable suppliers to enable optimal choices.

They will compile and publish project budgets in collaboration with the relevant Contract Manager / General Manager and finance department, subsequently managing them to agreed parameters.

They will visit or coordinate visits to any tests or similar assessments of materials involved in the project on an agreed basis to ensure compliance with established standards, including Class and ISO/British Standards as required.

They will work with vessel Managers to ensure that the project meets all required standards and is practically compatible with the vessels' piping, electrical, and size limitations.

They will monitor contractor progress during the project against the planned schedule.

They will provide technical support to superintendents when feasible and assist with ship visits and inspections as necessary.

Major Projects May Include:

  • Drydocking of vessels.
  • Replacement of machinery systems (e.g., ballast water treatment systems).
  • Modifications required due to new legislation (e.g., upgraded sewage systems).
  • Material changes for clients (e.g., alterations to accommodation to accommodate additional crew requirements).

Qualifications and Experience:

Must be qualified to at least STCW III/2 second engineer level (or possess equivalent military qualifications/experience) and/or have relevant project qualifications.

A developed engineering professional with a solid understanding and experience in engineering and technical processes within the Engineering Industry.

A proven history of managing large projects such as vessel drydocking/fabric changes and subsequent reporting.

Familiarity with and a positive attitude towards the use and significance of Technical Management systems, along with expertise in project and program management. Experience in effective people management and team development is essential, along with some commercial awareness.

Experience operating successfully in both Government and Commercial sectors is required.

Proficiency in Microsoft Office/Project to a competent level, with strong customer focus, organizational skills, time management, confidentiality, and the ability to work independently.
