Primary Responsibilities

The Endoscopy Operations Coordinator plays a vital role in our dynamic unit, efficiently overseeing patient movement from admission through to discharge within the Endoscopy department. You will be part of a high-energy environment that conducts numerous Endoscopy procedures weekly for both outpatient and inpatient populations. Collaborating with a diverse team of clinical and administrative professionals, your focus will be on ensuring the seamless operation of the unit and its multiple procedure rooms, while managing the scheduling of patients who require urgent or emergency procedures.

Key Duties Include:

  • Actively manage patient flow from admission to discharge within the Endoscopy unit, collaborating closely with nursing and clinical teams.
  • Make informed decisions regarding the transfer of patients from inpatient areas to Endoscopy for their procedures as necessary.
  • Provide timely and accurate updates on daily activities within the Endoscopy department. Maintain an efficient system for tracking the availability of procedural rooms to effectively address variations in demand, clinical priorities, and emergency cases, while escalating any concerns to operational management.
  • Communicate effectively with ward teams, Matrons, Divisional Nursing staff, Consultants and their teams, Ward clerks, Trust site coordinators, Care Group Manager, Service Manager, ED staff, other Bed Managers, Admissions and Discharge Unit, and patients.

Job Responsibilities

General Duties

  • Proactively oversee patient flow from arrival to departure within the Endoscopy unit.
  • Provide accurate and timely information regarding daily activities within Endoscopy. Maintain an effective system for monitoring the availability and demand for waiting, procedural, and treatment capacity throughout the day to ensure that fluctuations in demand, clinical priorities, and emergency cases are managed efficiently. Implement necessary actions in collaboration with managerial, clinical, and medical staffing to optimize service delivery.
  • Be aware of infection control risks and prevent the spread to other patients through appropriate isolation processes, as directed by the Nurse in Charge.
  • Communicate effectively with the ward team, Matrons, Nursing staff, Consultants and their teams, Ward clerks, Trust site coordinators, Care Group Management teams, booking teams, and patients.
  • Attend and assist in facilitating departmental huddles and other meetings as required. Provide accurate information on capacity and departmental performance against quality indicators and targets, escalating issues as necessary.
  • Escalate any concerns regarding patient safety to the Endoscopy Nurse in Charge.
  • Support coordination with internal and external teams to facilitate patient transport as needed.
  • Ensure effective communication and transition of patient details for inter-hospital transfers.

Qualifications and Training Required

Essential:

  • Literacy and numeracy skills equivalent to GCSE level.
  • Educated to NVQ3/Diploma standard or possess equivalent qualifications or relevant work experience.
  • Proficient and experienced in IT usage, including keyboard skills and Microsoft Office applications.
  • Willingness and ability to learn new IT processes and systems.
  • Openness to on-the-job training.

Desirable:

  • Attendance at courses or further studies demonstrating personal development.
  • Evidence of ongoing professional development.
  • Familiarity with medical terminology.

Previous or Relevant Experience Required

Essential:
