Administrative Assistant Opportunity

We are seeking an experienced Administrative Assistant to join our busy team in Christchurch. As the first point of contact for the department, you will be responsible for screening telephone calls, enquiries and requests, and handling them when appropriate.

Main Responsibilities:
  • Act as the first point of contact for the department with people from inside and outside the firm.
  • Screen and handle telephone calls, enquiries and requests.
  • Monitor voicemails and take messages in the Fee Earners' absence.
  • Organise and maintain diaries and make appointments.
  • Deal with consultation enquiries, collect information and arrange appointments.
  • Deal with correspondence and write letters on behalf of the Fee Earners.
  • Organise and prepare Fee Earners for meetings and provide refreshments where required.
  • Deal with incoming emails, faxes and post, and record these on Visual Files.
  • Produce documents, reports and correspondence as required.
  • Produce invoices and report billed figures to the Fee Earners.
  • Ensure client files are up to date and file all documentation.
  • Assist and cover for other secretaries as required.
  • Provide occasional support on miscellaneous projects or for senior staff if time permits.
