Team Assistant - Investor Relations

Our client, a dynamic and fast-growing investment firm, is seeking a highly motivated and proactive Team Assistant to join their team in London. This is an excellent opportunity for an experienced assistant looking for a challenging and varied role within the investment industry.

Key Responsibilities:
  • Manage the diaries and travel arrangements for senior team members, ensuring seamless coordination and timely execution.
  • Coordinate with outsourced travel providers to secure the best rates and services.
  • Handle expense claims efficiently and accurately, maintaining a high level of transparency and compliance.
  • Coordinate internal and external group meetings, including the preparation of relevant documentation and materials.
  • Handle inbound phone calls, post, and stationery ordering, providing exceptional customer service and support.
  • Maintain a strong relationship with office management, overseeing office space and IT issues to ensure a smooth and productive work environment.
  • Manage office-related projects, prioritizing tasks and deadlines to meet business objectives.
  • Arrange office lunches and oversee visitor management, ensuring a warm and welcoming experience for clients and guests.
  • Support the fundraising team with investor outreach activities, including conferences and events, to foster strong relationships and secure new investments.
  • Maintain the CRM system, ensuring accurate and up-to-date information is recorded and easily accessible.
  • Assist in the planning and organisation of investor events, including the Annual General Meeting and dinners, to showcase the firm's expertise and build strong connections.
Requirements:
  • Minimum of 2 years' experience as an assistant in a busy office environment, with a proven track record of delivering high-quality results.
  • Familiarity with Microsoft Office products, particularly Word, PowerPoint, and Excel, with the ability to learn and adapt to new systems and tools.
