About the Department

The University of West London (UWL) stands at the forefront of degree apprenticeship offerings, boasting over six years of expertise in delivering specialized degree-level apprenticeship programs. Our diverse apprenticeship portfolio encompasses fields such as computing, engineering, healthcare, built environment, business, and leadership, with additional programs currently in development. UWL is recognized as an Approved Training Provider and serves as an End Point Assessment Organisation for numerous apprenticeship standards.

The Apprenticeship Office functions as a central professional service dedicated to managing the recruitment, onboarding, support, monitoring, and compliance of our apprenticeship offerings.

Our office has successfully expanded the apprenticeship opportunities at UWL, currently offering over 24 degree apprenticeships, including 17 approved standards at the degree level, along with seven specialized pathways. As our apprenticeship offerings have grown, so too have the numbers of apprentices and employers engaging with us.

A crucial aspect of the Apprenticeship Office's mission is to collaborate with and support employers, as we partner with over 230 large corporations and small to medium-sized enterprises (SMEs).

Another vital responsibility of our office is to liaise with the university's Schools and Colleges to ensure ongoing monitoring of apprentices' engagement, thereby guaranteeing compliance with funding and external regulatory requirements.

In recent evaluations, our apprenticeship provision has been rated as 'Good' by Ofsted across all areas, with commendations for our effective partnerships with employers, responsiveness to local employment needs, and our ability to facilitate learner development in the workplace.

Position Overview

The primary objective of this administrative role is to assist in the development and maintenance of robust controls and procedures to ensure that the university's apprenticeship programs comply with funding and other external stakeholder requirements.

This role involves close collaboration with:

  • The Director of Apprenticeships and their representatives
  • The Head of Apprenticeship Funding and Data and their representatives
  • Other internal stakeholders, including university inquiries and admissions, course leaders, apprentices, and employer contract managers.

Key responsibilities for this role include:

  • Facilitating onboarding and enrollment processes
  • Creating and managing all documentation related to the apprenticeship journey
  • Generating regular reports to provide up-to-date evidence of compliance and participation
  • Monitoring and ensuring the quality of apprenticeship funding documentation, ensuring all learner files are accurate, complete, and audit-ready at all times
  • Tracking individual apprentices' engagement and reporting negative attendance to employers on a weekly basis
  • Providing progress reports to employers three to four times a year
  • Validating Off the Job hours reported by apprentices

The apprenticeship administration role will also contribute to any internal or external funding audits and quality inspections. The individual will be responsible for conducting compliance audit checks as requested by the senior team to ensure completion and adherence to standards.

Candidate Profile

We are seeking a qualified, motivated, and detail-oriented administrator to support our apprentices throughout their journey, from initial engagement to successful completion.

The successful candidate will interact with both internal and external stakeholders, requiring confidence in engaging with various partners, particularly our business collaborators, to maintain the strong relationships established over the years.

Given the office's experience with high volumes and demand, resilience and the ability to work effectively under pressure during peak times are essential skills.

Proficiency in digital tools and the ability to navigate various platforms for database creation and management are also required.
