Brook Street are delighted to be supporting a key client to recruit a Helpdesk Customer Service Assistant to join their fantastic Estates team.

Key Responsibilities:
  • Manage a customer-focused and proactive Helpdesk and Reception, ensuring seamless communication and resolution of visitor/stakeholder enquiries.
  • Process and distribute paperwork to visitors as required, maintaining accurate records and ensuring compliance with company procedures.
  • Coordinate contractor sign-in/out and induction processes, ensuring all necessary documentation is completed and up-to-date.
  • Verify contractor certifications and site-specific Risk Assessments, ensuring compliance with company standards.
  • Issue keys/swipe cards to authorized contractors, maintaining accurate records and ensuring secure access.
  • Support maintenance staff by developing, producing, and updating performance measures, distributing to all teams as required.
  • Liaise with customers and maintenance staff to arrange access for works, providing timely updates and ensuring smooth operations.
  • Provide regular reports to maintenance staff on outstanding and out-of-date works, ensuring prompt resolution and minimizing disruptions.
Requirements for the Role:
  • Significant experience working in a Helpdesk function, preferably within facilities management or construction environments.
  • Proficiency in Microsoft Office suite and ability to maintain, update, and manipulate records within various databases.
  • Demonstrable ability to communicate technical details of repair and maintenance work requests, ensuring clear understanding and resolution.
  • Excellent understanding and evidence of good customer service, with a friendly and helpful attitude.
  • Excellent organizational and planning skills, with the ability to multitask and prioritize tasks effectively.
  • HNC Level qualified or equivalent / Customer Services qualification (or equivalent experience desirable).
