SUMMARY OF RESPONSIBILITIES & DUTIES
The Facilities Contract Supervisor will oversee the daily operations of mechanical and electrical maintenance services, as well as cleaning and security provisions. This pivotal managerial position ensures a safe, comfortable, and energy-efficient environment. You will be tasked with maintaining full compliance with statutory regulations, including meticulous record-keeping.
Your role will also encompass managing project initiatives, focusing on maximizing value through effective procurement strategies and contractual agreements. Additionally, you will engage in life cycle planning and budget preparation.
This is a hands-on role requiring proactive management of work tasks, including permits, inductions, risk assessments, method statements, and site audits.
SPECIFIC DUTIES OF THE POSITION
- Maintain the site, facilities, and infrastructure to ensure operational efficiency while minimizing environmental impact through sustainable practices.
- Lead and coordinate the facilities management team and contractors for daily site maintenance.
- Ensure adherence to agreed service delivery SLAs, KPIs, and compliance with QHS&E standards.
- Identify, estimate, and manage project requirements on-site, collaborating with relevant departments.
- Oversee site inductions and permit processes.
- Create critical spares inventories and maintain a comprehensive site risk register.
- Communicate proactively with clients and provide monthly performance reports.
- Collaborate with clients to establish continuous improvement objectives.
- Offer technical expertise to clients and promote initiatives that enhance value.
- Plan for future developments aligned with strategic business goals; assist in formulating 3 to 5-year development plans based on organizational needs.
- Ensure timely completion of toolbox talks and submission of documentation to the QHSE manager.
- Manage subcontractors and staff to deliver services per contract specifications.
- Ensure timely contract renewals, order placements for subcontractors, and review of planners.
- Prepare written quotations for remedial and additional works, ensuring successful implementation.
- Coordinate out-of-hours work, ensuring all resources and communications are effectively managed.
- Conduct site inspections and audits to identify areas for improvement.
- Maintain facilities to meet all statutory and regulatory standards with minimal disruption to operations.
- Ensure compliance with health and safety regulations.
- Utilize performance management techniques to monitor service levels and drive improvements.
- Maintain accurate records within the management system.
- Exercise full financial and budgetary control over utilities and subcontractor expenditures, presenting reports to clients monthly or quarterly.
- Deliver comprehensive monthly contract reports to the regional manager, demonstrating operational and financial oversight.
QUALITY / HEALTH & SAFETY & ENVIRONMENTAL (QHSE)
- Ensure compliance with health and safety legislation and company policies.
- Contribute to a safe working environment.
- Adhere to risk assessments and control measures.
- Produce and review risk assessments and method statements for all activities.
- Report incidents and assist in resolving health and safety issues.
KEY PERFORMANCE INDICATORS:

SKILLS, QUALIFICATIONS, AND EXPERIENCE REQUIRED:
- Minimum of 3 years of management experience in the hard facilities management sector.
- Experience in managing contractors.
- Trade or professional qualification in building services.
- Ability to work under pressure and meet deadlines.
- Strong communication skills, both written and verbal.
- Capability to foster collaborative relationships with clients and colleagues.
- Proficient in multitasking and maintaining a methodical approach.
- Familiarity with SFG20 standards.
- Valid UK driving license.
- IOSH safety qualification or equivalent.
