We are seeking a highly organized and detail-oriented Office/Operations Manager to join our team at HRCentral Ltd. As a key member of our staff, you will be responsible for ensuring the smooth day-to-day operations of our office and providing exceptional support to our clients.
Key Responsibilities:- Liaise with our marketing and website suppliers as needed to ensure timely and effective communication.
- Ensure our operations manuals are up-to-date and support the delivery of a first-class service to our clients.
- Manage the day-to-day operations of the office, including liaising with the landlord and suppliers to ensure a smooth-running office environment.
- Own the invoicing function using Xero and ensure accurate and timely invoicing.
- Assist with correspondence generated by the team and clients, keeping trackers and operations manuals updated.
- Research skills will be essential for various specific projects as and when required.
- Oversee day-to-day office operations to ensure a productive and efficient work environment.
- Assist with any projects and issues relating to property, negotiating and organizing contracts.
- Onboard clients and prepare client contracts.
- Maintain our vast library of Intellectual Property and ensure our processes are followed for client procedures.
- Support the MD with the implementation of systems, providing training to team members as needed.
- Conduct research, compile data and reports as requested to facilitate decision-making processes.
- Maintain the office condition, address maintenance issues promptly, ensure health and safety, and liaise with external contacts and suppliers as needed.
- Act as Fire Marshall.
- Maintain appropriate levels of office supplies, organize orders and take deliveries.
- Ensure the office is organized and team members have the necessary tools and equipment.
- Implement and maintain office policies and procedures.
- Act as a key point of contact for internal and external clients in person, via telephone and in writing, ensuring effective communication and client satisfaction.
- Handle sensitive information with discretion and maintain a high level of confidentiality.
- Plan and coordinate company events, meetings, and team-building activities.
- Assist in organizing training, conferences and coordinating diary arrangements.
- Ensure arrangements are in place for meetings, including preparing necessary materials, managing conference room bookings and organizing refreshments and catering when needed for client events and training activity for our clients.
- Perform general office duties, including data entry, record-keeping, disposing of confidential waste, and maintaining a tidy and organized workspace.
- Collaborate with team members, supporting ad hoc projects as required to contribute to the company's continuing success.
- Build and maintain strong customer, partner and supplier relationships.
- Good working knowledge of Excel/Word/Outlook/PowerPoint, preferably some experience working with HR software/client databases (full training will be given on the HR information systems we currently use).
- Excellent communication skills, both verbal and written.
- Acting on your initiative without constant supervision.
- Calm under pressure, and able to remain professional at all times.
- Be highly organized.

The contracted hours will be 40 hours per week, Monday to Friday. Very open to discussing part-time hours, but there is a requirement to attend the office daily. The minimum number of hours we can accommodate is 5 per day.
