As we continue to expand our diverse client portfolio, which includes prominent names like Landsec and innovative smaller enterprises, we are seeking an Executive Administrative Coordinator to assist our Director and the newly formed Senior Leadership Team. This role is essential to manage the increasing administrative demands that accompany our growth.

Role Overview

We are looking for a detail-oriented, proactive Executive Administrative Coordinator to support our senior team and enhance the efficiency of our administrative operations. This position involves managing the Director's schedule and providing essential support to four additional senior leadership members. The ideal candidate will possess the foresight to anticipate needs and resolve issues proactively, thereby improving overall productivity. Strong organizational skills, effective communication, and adaptability to new systems are crucial for success in this role.

Key Responsibilities

  • Administrative Support: Provide comprehensive assistance to the Director and Senior Leadership Team with daily administrative tasks.
  • Document Management: Prepare and oversee documents, reports, and presentations as needed.
  • Correspondence Handling: Manage communications, including drafting emails and letters on behalf of the Director.

Office Management:

  • Ensure the office operates smoothly by overseeing supplies, equipment, and resources.
  • Coordinate with suppliers and service providers to maintain office facilities.
  • Organize the office environment through regular tasks, including greeting visitors and managing deliveries.

Leave Management:

  • Track and manage staff leave requests, ensuring accurate records in our HR system.
  • Assist in coordinating holiday cover to minimize disruptions.

HR and Finance Support:

  • Aid in HR tasks such as onboarding new hires and maintaining personnel records.
  • Support finance-related tasks, including processing invoices and expense reimbursements.

Diary and Email Management:

  • Oversee the Director's calendar, scheduling meetings and travel arrangements.
  • Organize incoming emails, highlighting important communications for prompt action.
  • Prepare meeting agendas, take minutes, and follow up on action items.
