Job Title: Vehicle Administrator

We are seeking a highly organized and detail-oriented Vehicle Administrator to join our team at VanRath. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day running of our vehicle operations.

Key Responsibilities:
  • Be the first point of contact for customers, providing excellent customer service and resolving any issues in a timely and professional manner.
  • Generate, amend, and update service schedules, sending reminders to customers as required.
  • Manage vehicle and customer databases, ensuring accurate and up-to-date information is maintained.
  • Book PSV appointments and issue workshop job cards, monitoring progress and ensuring timely completion.
  • Process and close out workshop job cards, assisting with invoicing and ensuring accurate financial records.
  • Make outbound sales and customer care calls, managing key customer relationships and identifying opportunities for growth.
  • Create maintenance contract quotes and sell maintenance contracts, ensuring customers receive the best possible service.
  • Liaise with Workshop Foreman to ensure efficient job planning and profitability.
  • Contact customers to inform them of additional work required, providing accurate quotations and gaining authority to complete the work.
  • Contact customers upon job completion, explaining the work carried out and arranging vehicle collection/delivery.
  • Ensure customer satisfaction at all times, delivering the Volvo 'Customer Commitments' and following up to ascertain service level satisfaction.
Requirements:
  • Experience in a similar role, preferably in the motor industry.
  • Strong administration skills, with excellent organizational and communication skills.
  • Ability to adapt to changing circumstances and prioritize tasks effectively.
  • Excellent customer service skills, with the ability to communicate effectively at all levels.
