We are seeking a vibrant, dynamic, and highly organized Personal Assistant to provide exceptional support to our Chief Creative Officer, Executive Creative Director, and Managing Director. Key Responsibilities:

  • Manage and coordinate calendars and meeting schedules, ensuring deadlines are met.
  • Organize travel logistics, including flights, accommodations, and transportation through our travel system.
  • Prepare and refine presentations and reports as necessary.
  • Arrange meetings, manage hospitality, and welcome clients.
  • Handle sensitive information with utmost discretion and maintain confidentiality.

  • Prioritize and manage incoming communications, including emails.
  • Anticipate the needs of executives and proactively address them.
  • Input timesheets weekly and process expense and mileage claims.
  • Collaborate with the Front of House team to ensure seamless operations and support company initiatives.
  • Develop a deep understanding of the agency's personnel, personalities, and current affairs.
  • Act as a sounding board for the cultural implications of business decisions.

Qualifications:

  • Demonstrated experience as a Personal Assistant or in a similar capacity, ideally in a fast-paced setting.
  • Exceptional communication and interpersonal abilities.
  • Strong organizational skills with a keen attention to detail.
  • Friendly and approachable demeanor; a sense of humor is appreciated.
  • Capability to interact with clients and colleagues at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize effectively.
  • Trustworthiness and discretion in handling confidential matters.
  • Flexibility and eagerness to embrace new challenges.
  • Previous experience in the advertising or marketing sector is advantageous.
