Purpose of the Role:

  • Working closely with the Office Manager and Finance Manager to administer projects end to end.
  • Providing a business administration service to stakeholders, contractors, clients, and project delivery teams, ensuring seamless workflow at each stage of the project.

Key Responsibilities:

  • Booking travel arrangements, including requesting travel visas, travel letters, and declarations to authorities.
  • Managing new projects, including adding folders, creating trigger sheets, and completing requested documents.
  • Conducting research for new projects and recording information.
  • Utilizing client portals to upload requested forms and tender documents.
  • Supporting the purchase of PPE and updating the PPE register.
  • Assisting with HR administration, including liaising with external entities regarding employment law matters.
  • Preparing project timesheets for input to project profitability reporting.
  • Supporting sales invoice preparation and Xero.
  • Supporting purchase invoice validation and Xero, as well as carrying out new supplier audits and bank verifications.
  • Preparing closing bank balances reconciliation (Bank Statements, Xero).
  • Preparing the emergency contact list and other monthly HR reports for payroll.

Person Specifications:

  • Minimum of 5 years of administration experience.
  • Degree-educated is beneficial but not essential.
  • Intermediate to advanced word and Excel skills.
  • Highly organized with impeccable attention to detail.
  • Results-driven with a strong ability to work under pressure.
  • Tech-savvy and analytical.
