We are seeking a highly organized and detail-oriented Aftersales Administrator and Support Specialist to join our team at Agricultural and Farming Jobs Agency. As a key member of our aftersales team, you will be responsible for providing exceptional support to our dealers and customers, ensuring seamless aftersales processes and exceptional customer satisfaction.
Key Responsibilities- Parts Administration: Create, generate, and compile routine reporting documents for the UK parts business, consulting with the UK parts team and head office colleagues.
- Parts KPIs: Generate Parts KPIs and attend regular weekly parts meetings to report on parts order intake progress, parts invoicing progress, 3rd Party sales order portfolio, and invoicing status.
- Invoice and Credit Management: Invoice third-party orders to dealers, process credits/returns of third-party orders, and request and check quarterly/annual commissions payments from third-party suppliers.
- Parts Returns and Claims: Coordinate parts returns, arrange return of parts, process credits to dealers, and keep detailed records of items for return.
- Service Administration: Monitor product recall progress and status, report results to the Aftersales Manager, Area Service Managers, and dealers, and coordinate warranty parts returns.
- Dealer Support: Support dealers with general parts enquiries, consult with colleagues in the UK and EU on parts enquiries and claims, and send letters, newsletters, and emails to dealers.
- General Administration: Provide general administration support, including creating user accounts, generating routine service information letters and bulletins, and answering the main line telephone with other admin staff.
- Experience: Dealership/service department experience in a similar role.
- Skills: Excellent technical and organizational skills, IT literate (Microsoft, SAP, Excel, Dealer Systems), and excellent communication skills.
- Education: Engineering or technical background.
- Additional Requirements: Forklift operator experience beneficial but not essential.
