Position Overview:
The Administrative Coordinator plays a vital role in overseeing the administrative functions related to client and organizational projects. This position involves monitoring project timelines and ensuring alignment with client expectations, facilitating scheduling and logistical arrangements, and maintaining consistent communication with team members and management.
Key Responsibilities:
This role encompasses two primary areas: administrative duties and manual handling/production tasks. Responsibilities include:
- Collecting and organizing incoming mail (manual handling)
- Utilizing scanning equipment to digitize questionnaires, staff surveys, and mail, and inputting data into the company’s database
- Accurately coding incoming mail and questionnaires
- Assembling questionnaire packs, letters, and informational leaflets
- Loading pallet trucks, which involves manual handling
- Operating machinery, such as scanning devices
Additional Duties:
- Managing envelope inserting machinery, production printers, data capture scanners, guillotines, and letter openers
- Printing and verifying mailing letters and questionnaires
- Overseeing email invitations and coordinating their distribution
- Preparing outgoing survey materials for dispatch
- Conducting integrity checks on outgoing mailings
- Picking and packing questionnaires for courier delivery to clients
- Sorting and opening incoming postal items
- Utilizing the company’s specialized database
- Coding and entering survey data and comments as required
- Receiving and documenting stock deliveries
- Preparing mailing items for dispatch, including booking via online platforms
- Performing routine maintenance on machinery and office equipment
- Filing and archiving documents
- Conducting regular stock counts
- Addressing Duty of Care issues as they arise
- Regularly using MS Excel for various tasks
- Providing assistance to teams across the organization as needed
Qualifications:

- Previous experience in project coordination
- Strong customer service skills
- The ability to collaborate effectively within a team
- A keen interest in computer technology
Education:
A Bachelor’s degree in a technical or business-related discipline is preferred.
