In this position, your primary responsibility will be to deliver a wide array of administrative and secretarial support to the Sussex Partnership NHS Foundation Trust team, along with performing receptionist duties at one of our community locations.
Key Responsibilities
As the Clinical Team Administrative Coordinator, you will be tasked with:
- Scheduling and managing appointments for a team of healthcare professionals.
- Prioritizing and maintaining your workload efficiently.
- Handling incoming and outgoing communications with clients and healthcare providers.
- Responding to emails from clients and health professionals in a timely manner.

Administrative Duties
The Clinical Team Administrative Coordinator will be responsible for:
- Delivering comprehensive administrative support, ensuring effective communication with various staff levels and service users.
- Maintaining health and safety standards within the workplace.
- Managing incoming referrals and organizing client appointments.
- Updating practitioner schedules and coordinating interpreter services as needed.
- Providing data and reports on a weekly basis from your locality.
- Assisting in the onboarding and training of new staff members.
- Supporting the general inquiry line and responding to urgent situations appropriately.
Reception Responsibilities
In addition to administrative tasks, you will:
- Offer a welcoming and efficient reception service to both internal and external stakeholders.
- Assist visitors and direct them to the appropriate contacts.
- Ensure the reception area is organized and presentable.
Qualifications and Experience
Essential Qualifications
- NVQ Level 3 or equivalent.
- RSA Level 3 or relevant experience demonstrating practical skills.
- A solid educational background, including GCSEs at Grade C or above or equivalent.
Required Knowledge and Experience
- Proven experience in various administrative functions.
- Ability to produce high-quality documents with accuracy.
- Experience in maintaining efficient office systems.
- A collaborative approach to working within a team.
