AOG Operations Coordinator Job Description

We are seeking an experienced AOG Operations Coordinator to join our team at Willis Global Ltd. The successful candidate will be responsible for coordinating the export and import processes, ensuring excellent customer service at all times.

Key Responsibilities:
  • Coordinate shipments from start to finish, ensuring timely and cost-effective execution.
  • Investigate and implement the most cost-effective dispatch of each shipment in accordance with customer instructions.
  • Liaise and negotiate with suppliers to ensure their costs are being provided at the time of booking.
  • Manage all necessary documentation and online forms for the efficient execution of import activities.
  • Provide collection/delivery notes and notifications to customers.
  • Ensure Customs Entries are completed as per customer instructions or agreed SOP.
  • Liaise with Warehouse and Transport Department for reliable distribution.
  • Ensure all Custom entries are completed to a high standard.
  • Arrange direct drives and On Board Couriers as necessary.
Customer Service:
  • Answer and return customer emails and calls in a timely manner.
  • Be polite and respond positively to customers/collegues.
  • Locate and track shipments and respond to customer enquiries.
Documentation / Administration:
  • Maintain and manage records of shipments in and out of the Heathrow ETSF facility.
  • Ensure each file is closed down and put away in a timely manner with all supporting paperwork contained.
  • Ensure billing is completed within the required KPI (48hrs after job completion).
  • Maintain Customer Standing Data held on file.
  • Update comments and actions within the company system.
Quotations:
  • Ensure quotations are responded to in a timely fashion dependent on customer requirements.
  • Complete all quotations through Cargowise, follow up and convert into a live job when customer gives the green light.
  • Understand customer requirements for completing quotations and ensure team is working to these standards.
  • Liaise with CS team to follow up on reasons why quotations were not gained and make any reasonable amendments to future quotations.
