The ideal candidate will have a strong background in project administration and a keen eye for detail. You will be responsible for providing administrative and operational support to our IT Project Delivery team, ensuring that projects are executed efficiently and effectively.

Key Responsibilities:

  • Support the IT Project Team in day-to-day project management tasks, including coordination, documentation, scheduling, and communication with stakeholders.
  • Organize and schedule project meetings, workshops, and events, preparing agendas, taking minutes, and ensuring follow-up on action items.
  • Maintain project documentation, including project plans, risk registers, and decision logs, ensuring accuracy and accessibility for the team.
  • Track project resources, including personnel, equipment, and tools, and update resource allocation.
  • Manage contracts, vendors, and license requirements, ensuring alignment with project requirements, timelines, and budget.
  • Coordinate with internal teams and external vendors to ensure resource availability.
  • Assist in maintaining the project schedule and tracking milestones, deliverables, and deadlines.
  • Compile and distribute regular project status reports to senior stakeholders.
  • Help the team track project budgets, costs, and expenditures, working with the finance department as needed.
  • Assist in preparing presentations, spreadsheets, and reports for project status reviews and/or steering committee meetings.
  • Act as a point of contact for project team members, stakeholders, and external vendors.
  • Maintain clear and consistent communication across project teams and stakeholders.
  • Support adherence to project methodologies, including Waterfall and Agile.
  • Administer and maintain project management tools, including MS Project, Jira, Trello, or other tools used.

Requirements:

  • 2-3 years of experience in an IT Project Support role or Project Administration or Junior PM role, within an IT project environment.
  • Familiarity with IT Project management principles and methodologies, including Waterfall and Agile.
  • MS Office proficiency, including Excel and PowerPoint.
  • Ideal certification or training in project management, such as PRINCE2 Foundation or Agile.
