Spire Healthcare is seeking a highly organized and detail-oriented Trainee Medical Secretary to join their team. As a Trainee Medical Secretary, you will provide administrative support to consultants and play a crucial role in the smooth operation of the medical secretariat.

Key Responsibilities:

  • Provide cover support for the medical secretariat, ensuring efficient and effective administrative services to consultants.
  • Deliver high-quality secretarial and administrative services, including the running of practice financial accounts.
  • Accurately transcribe from audio dictation, with medical terminology, all correspondence to external stakeholders.
  • Manage private accounts of consultants, including sending invoices, credit control, and maintaining accurate accounting systems.
  • Liaise closely with other departments within the hospital to ensure seamless communication and coordination.
  • Organize and manage outpatient clinic notes, ensuring all correspondence and results are available.
  • Arrange patients' admissions by liaising with consultants and other departments within the hospital.
  • Deal with telephone enquiries from patients, medical staff, GPs, and other professionals in a timely and courteous manner.
  • Ensure health insurance claims forms are correctly filled out.
  • Maintain accurate filing systems and handle sensitive and confidential work.
  • Liaise with Private Patient advisors regarding self-funding patients.
  • Cooperate with colleagues to ensure the highest quality of provisions for patients.
  • Perform other duties delegated from time to time to ensure the smooth operation of the department and/or hospital.

Requirements:

  • Previous experience in a similar role with aligned experience.
  • RSA qualification in medical typing/medical word processing is desirable but not essential.
  • Good literacy and numeracy skills.
  • Good understanding of Microsoft Office programs.
  • Ability to comply with mandatory training requirements.
  • Customer-focused approach and total confidentiality expected at all times.
  • Good communication and interpersonal skills.
  • Flexible and able to multi-task and prioritize.
  • Good team worker.
