Position Overview

We are seeking a dedicated and proactive individual with a strong background in primary healthcare administration. The ideal candidate will have a comprehensive understanding of referral management systems and processes, along with exceptional interpersonal and communication skills to effectively support our dynamic healthcare team.

Key Responsibilities

The selected candidate will be responsible for:

  • Performing all administrative tasks for the practice and the clinical staff.
  • Providing outstanding communication to patients through both telephone and in-person interactions.
  • Scheduling appointments using the designated software within the practice and through inter-organizational systems.
  • Engaging with patients in a confidential and professional manner.
  • Updating patient records as necessary.
  • Following up on test results and correspondence from clinics.

Our practice values teamwork, effective communication, and the commitment of our staff. We encourage ongoing professional development and training to enhance the skills necessary for our roles and the services we provide.

Our practice serves approximately 9,500 patients and utilizes advanced software for patient management.

Job Duties

Position Title: Primary Care Administrative Coordinator

Reports To: Practice Manager/Deputy Practice Manager

Main Responsibilities

  • Execute comprehensive administrative duties for the practice and clinical personnel.
  • Demonstrate thorough knowledge of referral management systems and processes.
  • Handle incoming calls promptly and professionally, ensuring a positive experience for all callers.
  • Maintain accurate records of patient interactions, whether through phone or written correspondence.
  • Stay informed about updates and changes in practice protocols.
  • Schedule appointments efficiently across various organizational platforms.
  • Document and manage all incoming and outgoing communications, prioritizing urgent matters.

Additional Responsibilities

  • Collaborate with members of the Primary Health Care Team.
  • Coordinate with external agencies as necessary.
  • Assist in managing hospital appointment logistics.

  • Proven experience in a medical administrative role within a general practice setting.
