About the Role

Pontoon is seeking a highly skilled Document Control and Records Manager to join our team. As a key member of our Digitalisation & Information Management Team, you will be responsible for providing expertise and support to ensure the effective management of documents and quality records.

Key Responsibilities
  • Develop and Implement Document Management Processes: Create and maintain standard operating procedures for document and records management, ensuring alignment with evolving Information Management Standards and Procedures.
  • Ensure Quality Records Requirements: Embed quality records requirements in baseline information requirements to ensure regulatory compliance, traceability, and appropriate segregation of lifetime quality records.
  • Maintain Master Document Register: Ensure the Master Document Register is up-to-date and related deliverables management processes are fit for purpose.
  • Audit and Improve Information Delivery Processes: Conduct regular audits of information delivery processes and collaboration systems to identify areas for improvement and implement changes to increase efficiency.
  • Ensure Compliance with Company Policies: Ensure all document and records management processes comply with company policies and standards.
  • Support Governance and Assurance Processes: Contribute to the development of the Information Management System and support existing and evolving governance and assurance processes, such as stage gate reviews and technical assurance reviews.
  • Manage Confidential and Sensitive Information: Ensure continuous control over highly confidential and sensitive information, including legal privilege, GDPR compliance, and price-sensitive data, while addressing information accessibility to meet regulatory reporting requirements.
  • Develop and Deliver Training: Develop and deliver training to document control teams and project delivery teams on document management and records best practices.
Requirements
  • Excellent Understanding of Information Delivery Processes: Strong knowledge of major infrastructure project information delivery processes and challenges.
  • Significant Experience in Document Management: Significant hands-on experience in implementing and controlling project information delivery processes.
  • Knowledge of Records and Information Policies: Experience in applying records and information policies and standards within a major project delivery organisation.
  • Experience in Document and Records Management: Experience managing document and quality records teams and developing and implementing document and quality records standards, procedures, templates, and guidance documentation.
  • Strong Analytical and Communication Skills: Good business analytics to identify gaps, improvements, and risks in current and proposed ways of working, and strong communication skills to effectively collaborate with stakeholders.
