Senior Administrator - Trade Compliance (Part-Time, 20-25 hours)

We are excited to present a remarkable opportunity for a Senior Administrator to become a vital part of our team. This part-time position offers a flexible working arrangement, ideal for individuals seeking to work 20-25 hours per week, with the option of 5 hours a day from Monday to Thursday. The daily hours can be adjusted to accommodate personal schedules, making it suitable for those balancing family commitments. Additionally, we promote a hybrid work model, typically allowing for two days in the office and two days working remotely, depending on operational requirements.

This role is an excellent chance to engage with the Defence sector at one of the largest Defence organizations globally, providing numerous avenues for career advancement and professional growth. As a Senior Administrator within the International Trade Compliance team, you will undertake a diverse range of responsibilities to support the team's objectives.

Key Responsibilities:

  • Maintain accurate records, including export documentation, data entry, and digital reconciliation of databases, while updating and managing journals, ledgers, and other records related to export and import activities.
  • Perform general administrative tasks and data entry for the International Trade Compliance team.
  • Assist with the flow of licenses.
  • Draft basic End User Statements, F680 approvals, and preliminary export license applications in the UK Government's online export licensing system, SPIRE, under supervision.
  • Follow up on trade compliance documents, ensuring that initial work is completed and necessary documents are retrieved or returned.
  • Support the management of customer records, including requests for updates and renewals.
  • Contribute to the creation of presentations, posters, and other materials to enhance internal awareness of Trade Compliance.
  • Review and maintain records for monthly intangible transfer logs.
  • Assist the International Trade Compliance team in achieving best practices for compliance and offer suggestions for improving tools and processes.
  • Help maintain HMRC AEO status for the International Trade Compliance team.
  • Support the preparation for regulatory and internal audits.
  • Review trade compliance documentation with guidance.
  • Assist the International Trade Compliance Manager and broader business with the screening of third parties, suppliers, and customers as needed.

Essential Qualifications:

  • Demonstrated experience as a Senior Administrator or in a related capacity, preferably with compliance responsibilities.
  • Strong customer focus and organizational skills.
  • Effective time management abilities.
  • Excellent written and verbal communication skills.
  • Willingness to adapt to varying demands.
  • Quick learner with the ability to prioritize tasks effectively.
  • Proficient in IT applications, particularly Microsoft Office Suite.
  • Competent in data management tools, with a strong ability to utilize spreadsheets and databases.
  • Adept at handling multiple administrative tasks and prioritizing as necessary.
  • Strong analytical skills with a willingness to learn new competencies within the International Trade Compliance field.
  • Problem-solving capabilities with a focus on developing practical solutions.
  • Ability to work independently while also being an effective team collaborator.
  • Attention to detail and strong communication skills.

Desirable Skills:

  • Experience with SharePoint for daily support, administration, and maintenance of the team's SharePoint environment.
  • Ability to effectively communicate presentation information to various audiences.
  • General knowledge of UK and U.S. Export Control Regulations, including ITAR and EAR 600 Series within the defence sector.
  • Familiarity with UK Customs procedures.
  • Previous experience in an Export/Shipping department or a solid understanding of industry practices, including SAP usage.
