Job Summary

The role of Assistant Facilities Manager is to provide support to the Estates Manager in the management of the maintenance and caretaking workforce. This involves overseeing the day-to-day work of the maintenance and caretaking staff, ensuring that work is completed in a cost-effective manner and to agreed deadlines.

Key Responsibilities

  • Supervise the maintenance and caretaking staff via the online Estates Helpdesk system, ensuring that work is completed efficiently and effectively.
  • Oversee the operation of the local site cleaning team, ensuring that cleaning is carried out in an effective and economical manner.
  • Contribute to reviews of the Planned Preventative Maintenance programme, ensuring that maintenance activities are planned and executed effectively.
  • Prepare specifications, contract documents, and architectural plans for procurement and tender purposes.
  • Make arrangements for external or internal events, ensuring that all necessary arrangements are made.
  • Organize the safe transport of goods and furniture between sites, as required.
  • Place orders, check invoices, and agree payments for goods, materials, and contracted services.
  • Ensure compliance with building development and maintenance regulations, supporting the Estates Manager in this regard.
  • Day-to-day oversight of contractors, ensuring that specifications are met to required standards.

Requirements

  • Hold a building craft, surveying, or Health and Safety background/qualifications.
  • Be conversant with Health and Safety regulations.
  • Possess a wide knowledge of building construction and maintenance.
  • Knowledge of modern Mechanical & Electrical and Building Management Systems.
  • Experience of planning and implementing buildings maintenance programmes to schedule and within budget.
  • Manage successful relationships with contractors or external parties to ensure outsourced work is delivered satisfactorily.
