Interim Personal Assistant

With over 500 employees and £51.3 billion worth of assets under management, we provide investment services to individual and institutional investors through a range of products and services.
Role OverviewThe Interim Personal Assistant will provide critical support to the Client Group team, including the Head of UK, Deputy Head of UK, and Head of Client Solutions. This is a 12-month fixed-term contract to provide maternity cover for the permanent PA.
Key Responsibilities- Act as the primary point of contact for internal and external enquiries, providing timely and accurate responses.
- Provide business support to the Client Group team, including proactive management of emails and diary management.
- Prepare meetings, including producing agendas, collating papers, and logistics.
- Develop a deep understanding of key stakeholders, including clients and internal contacts, their needs, and priorities.
- Book conferences, seminars, and workshops, both internal and external, and brief staff as necessary.
- Ensure managers have the correct paperwork for meetings.
- Arrange travel, including flights, trains, taxis, and hotels, in line with company policy.
- Produce high-quality PowerPoint presentations.
- Process expense claims and invoices using Workday.
- Complete annual CPD returns.
- Perform routine office administration tasks, including filing, photocopying, shredding, archiving, and tracking.
- Provide holiday cover for other PAs as needed.
- Proven experience as a personal assistant, preferably in the financial services sector.
- Advanced knowledge of Microsoft Office, particularly PowerPoint, Word, and Outlook.
- Strong level of Excel skills.
- Knowledge of Salesforce is desirable but not essential.
- Accuracy and attention to detail, even in high-pressure situations.
- Strong organizational and communication skills.
- Ability to handle confidential information professionally and discreetly.
- Ability to work with minimal supervision.
- Flexibility and adaptability in approach to work.
- Ability to prioritize and multitask.
- Hands-on team approach.
- Confidence to liaise with contacts at all levels.
- This role is subject to the Conduct Rules set by the FCA.
