Job Overview

We are seeking an experienced Executive Assistant to provide high-level administrative support to our Chief Executive and Chair. This is a pivotal role that requires exceptional organisational skills, discretion, and initiative.

Main Responsibilities
  • Manage a complex and busy diary for the Chief Executive, including arranging meetings, travel, and venue booking.
  • Manage the Chief Executive's inbox, using tact, discretion, and diplomacy to ensure that correspondence is handled appropriately.
  • Ensure that crucial stakeholders are kept apprised of latest developments, to support decision making and planning.
  • Collate and distribute complex information/statistics, using sound judgement and good drafting skills.
  • Support the Chief Executive in their attendance at conferences, meetings, and other events.
  • Provide an extensive Executive Assistant Service to the Chief Executive and the Chair.
  • Collaborate with a range of internal and external stakeholders to organise meetings.
  • Coordinate arrangements for meetings and events, as well as preparing correspondence, reports, and presentations, and producing minutes.
  • Support with drafting materials such as articles for communications and engagement.

Greater Manchester Mental Health (GMMH) Foundation Trust employs over 7,000 members of staff, who deliver services from more than 160 locations. We provide inpatient and community-based mental health care for people living in Bolton, the city of Manchester, Salford, Trafford, and the borough of Wigan, and a wide range of specialist mental health and substance misuse services across Greater Manchester, the north west of England, and beyond.

Person Specification

We are looking for an individual with:

  • NVQ Level 3 Business Administration or equivalent experience.
  • Experience in coordinating administrative and secretarial tasks for senior executives, including responding to emails and complex diary management.
  • Ability to handle telephone and visitor enquiries from internal and external stakeholders, ensuring that all information is provided efficiently and courteously.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
