Position Overview

The role of a full-time Clinical Support Administrator is essential within the Mental Health Liaison Service (MHLS). This service is a critical component of the Urgent Care Team for Mental Health Services, providing immediate assistance to individuals experiencing mental health crises. The team operates continuously, ensuring support is available around the clock.

Key Responsibilities

The primary function of this position is to assist the clinical team by delivering a thorough administrative support service. The working hours will be structured from Monday to Friday.

The Clinical Support Administrator will:

  • Provide administrative assistance to the Senior Medical Administrator, ensuring the clinical teams within the Mental Health Liaison Service receive comprehensive support.
  • Perform general office tasks, including managing incoming calls from service users, their families, and other healthcare professionals.
  • Input new referrals and process completed assessments on the Electronic Patient Record System, maintaining accuracy and up-to-date information.
  • Handle daily mail distribution, utilizing discretion to prioritize important communications for clinical staff.
  • Organize and manage meetings, including taking minutes and distributing them as necessary.

Job Duties

The Clinical Support Administrator will be responsible for:

  • Executing clerical tasks for the clinical team, including drafting clinical letters, reports, and discharge documentation.
  • Serving as the initial point of contact for written and telephonic inquiries, assessing the urgency and relevance of each contact.
  • Managing admission inquiries with a focus on patient confidentiality.
  • Coordinating with General Practitioners regarding assessments and referrals, as well as liaising with external agencies.
  • Recording clinical activity in accordance with established deadlines.
  • Tracking service users from referral through to discharge, ensuring all communications meet local and national standards.
  • Generating discharge notifications and summaries for General Practitioners within specified timeframes.
  • Verifying patient status and ensuring that health results are accurately recorded in the Electronic Patient Record system.

Qualifications

Essential:

  • Proficiency in English and Mathematics.
  • Experience with ECDL or equivalent.

Desirable:

  • NVQ in Business Administration or Customer Service.
  • Typing qualifications or relevant experience.

Experience

Essential:

  • Background in administration.
  • Experience in a busy office setting.

Desirable:

  • Familiarity with patient administration and medical terminology.
  • Understanding of data quality and performance metrics.

Skills

Essential:

  • Ability to navigate IT systems, including MS Teams, Word, and Excel.
  • Excellent communication skills and telephone etiquette.
  • Accurate typing skills.

Desirable:

  • Experience in minute-taking.
  • Familiarity with Electronic Patient Records (EPR).

Knowledge

Essential:

  • Understanding of the Data Protection Act and GDPR.
  • Commitment to patient confidentiality.

Desirable:

  • Knowledge of NHS operations.
