About the Role

We are seeking an experienced and exceptional Personal Assistant to support the senior management team at South Tees Hospitals NHS Foundation Trust. The successful candidate will provide comprehensive, effective, and professional administrative support to the Cancer Services senior management team.

Main Responsibilities
  • Provide secretarial support, including clerical and information technology support, to the Cancer Services management team.
  • Administer electronic outlook diaries of members of the collaborative management team, making appointments and assembling documents in preparation for meetings.
  • Utilize excellent communication skills and responsibility for handling confidential and sensitive information, redirecting to the appropriate deputising manager using good judgment.
  • Plan and manage own time effectively and work unsupervised on a daily basis.
  • Process orders and invoices as required.
  • Attend senior meetings, taking and distributing minutes as required, and co-ordinate agendas and invite personnel for discussion/presentation of projects.
  • Develop and maintain effective communications at all levels throughout the service, Trust, and with external trusts/agencies.
  • Deal with general enquiries from members of staff, external bodies, and members of the general public in a polite, professional manner and take messages as appropriate.
  • Act as a host to visitors in the collaborative when required.
  • Undertake any other relevant administrative tasks that may be required for the effective running of the service.
Requirements
  • Excellent communication and interpersonal skills.
  • Excellent planning, prioritisation, and organisational skills.
  • GCSE Maths and English or functional skills (level 2).
  • RSA/OCR 3 qualification (or equivalent level word processing qualification or experience) OR NVQ3 level Secretarial or Administrative qualification or equivalent level of experience.
