Job Summary

We are seeking an experienced Attendance Administrator to join our team at Aspire People. The successful candidate will be responsible for managing attendance records, investigating absences, and promoting good attendance within the school.

Key Responsibilities
  1. Attendance Data Management: Input attendance data, investigate missing data, and maintain accurate attendance records.
  2. Electronic Registration System: Update the system daily, investigating any missing data with class teachers.
  3. Student Absence Recording: Record student absences and late arrivals on SIMS, maintaining accurate attendance records.
  4. Parental Communication: Make initial enquiries with parents/carers regarding unexplained absences/lateness, including first-day calling.
  5. Attendance Monitoring: Monitor the attendance of students, referring concerns to the Pastoral Leaders.
  6. Attendance Promotion: Promote good attendance within the school.
  7. Holiday Requests: Process and action student holiday requests.
  8. Correspondence: Issue routine correspondence to parents/carers regarding attendance/absence requests in accordance with the school procedure.
  9. Referrals and Liaison: Assist the Assistant Headteachers with the administration of referrals to the education welfare service/issuing of penalty notices, and undertake routine liaison with external agencies regarding attendance.
  10. Reporting and Analysis: Collate attendance data, producing routine reports and prepare statistical returns regarding attendance and submit to reporting bodies where appropriate.
  11. Compliance and Confidentiality: Comply with policies and procedures relating to child protection, health, safety and security, confidentiality, and data protection, reporting all concerns to an appropriate person.
  12. Representation and Liaison: Represent MGGS at regular Attendance Officers meetings, and liaise with Heads of Study and Assistant Headteachers over attendance concerns.
  13. Attendance Analysis: Identify attendance issues and patterns of absence/late arrivals.
  14. Parental Contact: Contact with parents over all aspects of attendance, including written correspondence when required.
  15. Reporting and Liaison: Produce attendance reports for Heads of Study on a weekly basis and other individual reports when requested, and liaise with external agencies over persistent absence or other attendance issues.
  16. Meetings and Administration: Attend meetings with external agencies and parents as required, and complete administration tasks as directed by the line manager.
