About the Role

Ariel Healthcare is seeking a highly organized and customer-focused individual to join our Patient Services Team as a Patient Services Coordinator. This is an exciting opportunity to work in a dynamic and innovative team, providing a high-quality service to patients and contributing to the smooth and effective running of our reception and administrative functions.

Key Responsibilities
  • Assist patients with obtaining appointments at a time and place convenient to them, both face-to-face and over the phone.
  • Respond to patients' requests for information or assistance, ensuring these requests are directed to the most appropriate person in the practice.
  • Respond to doctors and other clinical staff's requests for information or assistance, and liaise with external agencies as necessary, anticipating problems and seeking solutions in advance.
  • Provide cover for the main reception telephone and ensure messages are passed on quickly and accurately.
  • Ensure emails are responded to in a timely manner and all necessary action is taken.
  • Ensure filing is kept up to date and assist with post opening and distribution of correspondence.
  • Receive, send, file, or dispose of information in a secure manner to ensure confidentiality is maintained.
  • Provide cover for the main reception desk and ensure daily surgeries run efficiently and smoothly.
  • Register new patients to the practice and scan correspondence into patients' medical records.
  • Undertake straightforward coding of results into patients' medical records and assist in maintaining a clean and tidy waiting room.
  • Manage the contents of the community notice board/health promotion boards in the main reception areas.
  • Assist in the maintenance, reviews, and updates of reception procedures and protocols.
  • Greet visitors to the practice and operate in accordance with the practice protocols and guidelines.
  • Undertake opening and closing procedures, ensuring the building is secure and the security alarm is set/unset.
