POSITION OVERVIEW

The Production Coordinator plays a crucial role in overseeing and orchestrating the creation of essential promotional materials for the EMEA Creative division. This position involves managing one or several feeds, coordinating the production of new promotions, campaigns, revisions, social media content, digital assets, and branding components.

DAILY RESPONSIBILITIES

  • Participate in monthly planning, production, kickoff, and scheduling meetings, ensuring effective communication and management throughout the post-production phase.

  • Create necessary documentation for the production workflow (e.g., Live Status Document).

  • Lead weekly core production discussions.

  • Secure necessary resources for promotional activities.

  • Manage the information flow regarding new commissions versus revisions.

  • Develop timelines and oversee all post-production sessions for new promotions, revisions, and navigation items, ensuring all relevant content is ordered and processed, including managing localization efforts.

  • Ensure that post-production personnel and external partners receive all pertinent materials and that any schedule adjustments are communicated effectively.

  • Guarantee the production of commissioned monthly promotions and implement any necessary schedule modifications.

  • Ensure all work meets technical and content compliance standards, collaborating closely with the compliance team.

  • Build and maintain effective working relationships with a diverse range of internal and external stakeholders to keep all key departments informed of production activities.

  • Update monthly expenditure reports with precise spending details and prepare production budgets for complex non-core projects.

  • Develop and sustain office and administrative systems, ensuring the organization of shared drives and proper labeling of projects and scripts by creative teams and freelancers.

  • Manage timely deliveries to Playout, flagging any concerns regarding late submissions to the appropriate parties.

REQUIRED QUALIFICATIONS

  • Proven experience as a Team Assistant, Production Assistant, or Production Coordinator within a creative environment.

  • Experience in booking audio and editing suites, talent, and filming crews.

  • Familiarity with broadcast-standard equipment and post-production processes.

  • Ability to efficiently prioritize conflicting workloads while maintaining accuracy and attention to detail under deadlines.

  • Experience in maintaining office systems and adhering to administrative procedures, as well as creating new systems when necessary.

PREFERRED QUALIFICATIONS

  • Ability to assess risks effectively.

  • Experience in managing and updating budgets.

  • Proficiency in a variety of software applications, including Word, Excel, and Outlook, with a willingness to learn new software as needed.

  • Capability to handle confidential information with discretion and sensitivity.

  • Strong interpersonal and communication skills to establish and maintain effective working relationships with a broad range of internal and external contacts.

  • Ability to work independently as well as collaboratively within a team.

  • Resilience and stamina to maintain performance under pressure from high workloads and competing priorities.

  • A flexible and innovative mindset.

  • A genuine interest in and enthusiasm for the work of BBC Channels.
