Medical Office Coordinator

The Medical Receptionist will play a vital role in providing exceptional patient care and administrative support to the Albion Medical Practice team.
Key Responsibilities- Provide general assistance to the practice team and project a positive image to patients and visitors.
- Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous and efficient manner.
- Undertake a variety of administrative duties to assist in the smooth running of the practice, including secretarial and clerical support to clinical staff.
- Facilitate effective communication between patients, healthcare professionals, and other agencies.
- Maintain security in accordance with practice protocol.
- Monitor and maintain the practice appointments system.
- Process personal and telephone requests for appointments, visits, and consultations.
- Process and distribute incoming and outgoing mail.
- Take messages and pass on information.
- Filing and retrieving paperwork.
- Process repeat prescriptions in accordance with practice guidelines.
- Computer data entry, data allocation, and collation.
- Initiate contact with and respond to requests from patients, team members, and healthcare agencies.
- Clear and restock consulting rooms as required.
- Provide clerical assistance to practice staff as needed.
- Order and monitor stationery and other supplies.
- Keep the kitchen area clean and tidy.
- Keep the reception area, notice-boards, and leaflet dispensers tidy and free from obstructions.
- Respect patient confidentiality and maintain the confidentiality of sensitive information.
- Only disclose confidential information to authorized persons in accordance with practice policies and procedures.
- Assist in promoting and maintaining health, safety, and security within the practice.
- Identify and manage risks involved in work activities.
- Make effective use of training to update knowledge and skills.
- Use appropriate infection control procedures and maintain a clean and safe work environment.
- Report health and safety hazards and infection hazards immediately.
- Support the equality, diversity, and rights of patients, carers, and colleagues.
- Respect the privacy, dignity, needs, and beliefs of patients, carers, and colleagues.
- Participate in training programs implemented by the practice.
- Take responsibility for own development, learning, and performance.
- Strive to maintain quality within the practice.
- Alert team members to issues of quality and risk.
- Assess own performance and take accountability for own actions.
- Communicate effectively with team members, patients, and carers.
- Recognize the needs of patients and carers for alternative methods of communication.
