About the Role

We are seeking a highly organized and detail-oriented Office & Events Coordinator to join our team at Activate Group Limited. As an Office & Events Coordinator, you will be responsible for a variety of tasks ranging from reception duties to assisting with company events planning.

Key Responsibilities

  • Welcome all visitors in a professional manner and ensure any client visits are planned and resourced correctly.
  • Deal with all inbound calls to the reception phone and triage or transfer as necessary.
  • Manage the administration of staff fob keys, post duties, and deliveries.
  • Assist the Group Executive Assistant with facilities management, including overseeing the replenishment of stock and managing external contractor requirements.
  • Perform administration duties, including supporting the Operations team on a daily basis.
  • Work with the Group Executive Assistant on projects and tasks related to employee benefits, engagement activities, and company events.
  • Assist with all company events planning and bookings of events.
  • Be one of the main points of contact within the engagement team to assist in planning all internal events across the business.
  • Contact external customers and clients around meetings and events.

Requirements

  • Exceptional communication skills, both written and verbal.
  • Good problem-solving skills.
  • Excellent time management skills and evidence of self-motivation.
  • Good knowledge of Microsoft Office.
  • Ability to build and maintain good relationships with customers and employees at all levels.
  • Customer-focused attitude and experience.
  • Excellent attention to detail.
