We are seeking a Legacy Operations Supervisor to become a vital part of our Legacies team.

Your Role
As a Legacy Operations Supervisor, your responsibilities will encompass the following areas:
  • Analyzing, processing, and accurately entering data onto the FirstClass legacy management system in a timely manner.
  • Managing and processing sensitive personal information related to supporters and their families.
  • Overseeing the efficient operation of a small team of Administration Assistants.
  • Regularly reviewing and updating administrative and support procedures as necessary.
  • Ensuring compliance with GDPR and other relevant legislation in all data entry tasks.
  • Scanning incoming correspondence and documents onto the appropriate files in FirstClass accurately and promptly.
  • Obtaining necessary documents such as Wills from Probate Registries or other governmental bodies.
  • Ensuring timely payment of invoices and accurate recording of receipts.
  • Supervising general administrative duties including mail distribution, filing, and photocopying.
  • Providing administrative assistance to the team and management, including room bookings and meeting arrangements.
  • Processing and allocating legacy income received.
  • Managing a small caseload of pecuniary cases and collaborating with Legacy Officers from other charities as needed.
  • Keeping up-to-date with best practices and processes related to the administration of pecuniary charitable legacies.

This position is essential in supporting the Legacies team, case handlers, and management, ensuring the smooth workflow of the department. Attention to detail and accuracy are crucial in maintaining our benefactors' records on the FirstClass legacy administration system. The ability to effectively manage personnel and prioritize tasks is vital.

About You
To qualify for the Legacy Operations Supervisor role, you should possess:
  • Proven experience in an office setting with proficiency in Microsoft Excel and Word.
  • Familiarity with the FirstClass legacy management system is advantageous.
