Your Role

As a Records Management Specialist, you will collaborate with a team of experts within the Group Data Team. This position offers essential support to the organization regarding all facets of information and records management, with a particular emphasis on digital records management in a Microsoft 365 environment. Your focus will be on ensuring that best practices are followed by colleagues, compliance with information-related policies, and the application of information lifecycle governance across both structured and unstructured environments, all while meeting legal and regulatory requirements, including GDPR.

You will take charge of monitoring and reporting on information and record-keeping practices throughout the organization. Additionally, you will actively engage in projects and initiatives related to information and records that align with the firm's strategic objectives, particularly those aimed at embedding information lifecycle management processes.

What You'll Be Doing

  • Assist the Head of Information and Records Management in enhancing our maturity across the organization by delivering training and creating valuable materials that promote a consistent approach to information management practices.
  • Advise the organization on the retention schedule and the application of retention dates to ensure the proper retention and safeguarding of information and records until their business need expires.
  • Provide guidance on records management practices with a strong emphasis on digital workflows.
  • Evaluate the performance of archiving service suppliers, ensuring adherence to service level agreements, and offer constructive feedback during supplier management meetings.
  • Generate monthly reports that clearly illustrate performance against our policies and general record-keeping standards across the organization.
  • Deliver insightful feedback on report outcomes at team and managerial levels, highlighting areas for improvement or remedial action to prevent potential information loss or non-compliance with retention schedules.
  • Contribute to the design and implementation of training programs that ensure compliance with Information Lifecycle Governance across all staff levels.
  • Support the Head of Information and Records Management in developing a centralized hub for all information and records management content.
  • Lead the annual review of destruction practices for our primary archiving service supplier, providing a comprehensive report of findings for managerial review.
  • Collaborate with other information professionals to ensure alignment with information management objectives.
  • Assist in both paper and digital projects, ensuring adherence to best practices for information and records management.
  • Continuously enhance your knowledge of industry regulations and requirements related to information, records, and data.

About You

  • Experience working in a multidisciplinary team within a medium to large organization, preferably in a professional services context.
  • Degree-level education or equivalent in a related field focused on Information or Records Management.
  • Proficient in information management and governance within a Microsoft 365 environment, including compliance tools.
  • Familiarity with information and records management standards such as ISO and BS10008.
  • Experience in reporting on quality standards and performance metrics.
  • Proven ability to engage effectively with stakeholders at all levels.
  • Demonstrated client focus and empathy.
  • Ability to review, propose, and enhance processes while positively adapting to change.
  • Strong organizational, prioritization, and communication skills, with the ability to tailor communication styles as needed.
  • Capacity to comprehend and synthesize complex information from various sources.
  • Enjoys teamwork and contributes positively to team dynamics to achieve defined objectives.
  • Effective problem-solving skills with a proactive approach.
