About the Role

We are seeking an experienced Admin Assistant to join our team at Workforce Staffing Ltd. As an Admin Assistant, you will be responsible for providing administrative support to our team, ensuring the smooth operation of our office.

Key Responsibilities:

  • Preparing new client forms
  • Onboarding of new clients and liaising with Client Managers to ensure all documentation is correct
  • Maintaining client records and filing of documents in respective client files
  • Inbox and diary management
  • Billing administration and assisting with credit control
  • Maintaining office supplies and inventory including ordering, receiving
  • Maintaining office filing system including scanning, filing, and organizing documents daily
  • Managing all incoming mail and packages for all departments including shipping/receiving, labelling, and distribution as needed
  • Assisting with filing/referral of all documents in the office filing system daily or as needed based on departmental needs
  • Typing Letters, reports and professional documents
  • Assisting with filing statutory documents with Companies House and HMRC
  • Providing administrative support to the team
  • Meeting, greeting and liaising with clients
  • Managing an effective and efficient filing system
  • Managing client records on the firm's database software
  • Other ad hoc general administrative tasks
Requirements

To be successful in this role, you will need:

  • At least 2 years work of accountancy practice experience
  • Experience with IRIS, XERO and other accountancy software beneficial
  • Ability to work in a fast-paced environment
  • Excellent organizational skills and attention to detail
  • Comfortable with technology (i.e., Microsoft Outlook, Excel, Word)
  • Ability to work in a team environment and provide support to other employees as needed
  • Ability to work independently and prioritize tasks accordingly
  • Ability to interact with stakeholders at all levels
  • Discretion when dealing with confidential information in all aspects of work
