Your responsibilities as an Account Assistant include:

  • Executing daily, weekly, and monthly accounting tasks to ensure accurate management of Accounts Payable, Income Audit, and Cashiering.
  • Conducting audits of daily revenue summaries for Rooms, Food, and Beverage, along with their supporting documentation from the Night Audit Process.
  • Accounting for all incidental revenues generated within the hotel.
  • Ensuring proper recording of all Meeting rooms revenue for the day.
  • Preparing reports on cashiers' shortages or overages based on the General Cashier's Report for further action.
  • Reviewing paid-outs and allowance vouchers for appropriateness, proper approvals, and supporting documentation.
  • Verifying rebates, allowance summaries, and paid-outs for necessary approvals from the Controller and General Manager.
  • Performing spot checks on room rates and prices charged.
  • Validating documentation for complimentary rooms, house use, and rate variance reports.
  • Cross-referencing room maid reports with room clerks' reports to identify discrepancies and prepare variance reports.
  • Managing all open/dummy folios on a daily basis.
  • Reviewing house use and entertainment checks to ensure proper signatures.
  • Monitoring guest ledger balances daily and investigating any questionable transactions.
  • Investigating late charges and skippers, forwarding details to the Credit Manager for further action.
  • Conducting surprise cash counts of cashier floats and other funds.
  • Maintaining organized records of all audit documentation.
  • Completing additional reports and analyses as requested by management.
  • Assisting the Finance Controller in preparing worksheets for review meetings.
  • Collecting and filing delivery notes for miscellaneous items.
  • Ensuring goods are issued and received in the correct units of measure.
  • Reporting price discrepancies to the Purchasing department.
  • Receiving and closing purchase orders within the system.
  • Ensuring compliance with all policies and procedures.
  • Assisting the Controller in preparing worksheets and reports for review meetings.
  • Supporting the preparation of Balance Sheet reconciliations.
  • Assisting in the compilation of month-end reports and documentation.
