Facilities Coordinator

The Facilities Coordinator (FC) will support the Lead Facilities Manager in delivering facilities services to tenants across one or more managed properties, adhering to best practice standards established by JLL, while also understanding the investment's business objectives.

Customer Service Excellence

Provide outstanding customer service to fulfill client expectations. Cultivate and nurture effective relationships with clients at all levels. Assist with reception duties by covering breaks and absences as needed by the Lead Facilities Manager or Client.

Site Operations Management

Ensure that issues identified through site inspections or client feedback are addressed promptly. Oversee all requests submitted through the Facilities helpdesk and coordinate with the JLL M&E team and service providers. Ensure compliance with client KPIs as outlined in the Local Country Agreement (LCA). Maintain accurate and updated records of health and safety documentation. Process and manage purchase orders, invoices, and work orders efficiently. Provide support for the Lead Facilities Manager during their absence. Assist in the preparation of reports and documentation to meet specified deadlines. Conduct regular site inspections and log any issues in the helpdesk ticketing system. Visit properties according to the site visit schedule provided by the Lead Facilities Manager.

Facilities Management Support

Ensure adherence to client KPIs as defined in the Property Management Agreement (PMA). Aid in the execution of operational initiatives focused on customer experience across your portfolio in close collaboration with our service partners. Ensure that on-site management of properties aligns with JLL's policies, processes, and procedures. Communicate regularly with tenant representatives, escalating issues only when they cannot be resolved locally. Serve as the primary point of contact for tenants, providing guidance and advice regarding the day-to-day operations of the building(s). Assist in setting and managing service charge budgets, quarterly variance reporting, and reconciliation according to agreed accounting practices. Support the building's health and safety and environmental sustainability initiatives. Assist in managing the building's plant and equipment, taking responsibility for building management systems where applicable. Help implement minor housekeeping tasks as needed. Prepare site regulations and issue permits for all contractor activities on-site. Establish and maintain accurate site records in accordance with best practice standards. Visit properties in line with the site visit schedule issued by the Lead Facilities Manager.

Required Qualifications, Skills, and Experience

Strong stakeholder management abilities and a keen understanding of business concepts. Previous experience in the property industry or a related field, with client-facing experience or a corporate facilities management background. Proactive in driving operational business improvements. Excellent organizational and communication skills, both verbal and written. Results-oriented and driven to achieve objectives.
