Facilities Coordinator
The Facilities Coordinator (FC) will support the Lead Facilities Manager in delivering exceptional facilities services to tenants across one or more managed properties, adhering to the best practice standards established by JLL. The FC is expected to comprehend the business goals of the investment.
Customer Service Excellence
Provide outstanding customer service to fulfill client expectations. Cultivate and nurture effective relationships with clients at all levels. Assist reception by covering breaks and absences as directed by the Lead Facilities Manager or Client.Site Operations Management
Ensure timely resolution of issues identified through site inspections or client feedback. Oversee all requests submitted to the Facilities helpdesk and coordinate with the JLL Maintenance & Engineering team and service providers. Ensure compliance with client KPIs as outlined in the Local Country Agreement (LCA). Maintain accurate and updated records of health and safety documentation. Process and manage purchase orders, invoices, and work orders. Provide coverage for the Lead Facilities Manager during their absence. Assist in the preparation of reports and documentation to meet necessary deadlines. Conduct regular site inspections and log any issues in the helpdesk ticketing system. Visit properties according to the site visit schedule provided by the Lead Facilities Manager.Facilities Management Support
Ensure compliance with client KPIs as specified in the Property Management Agreement (PMA). Aid in the execution of operational initiatives focused on customer experience across your portfolio in close collaboration with our service partners. Ensure that on-site management of properties aligns with JLL's policies, processes, and procedures. Communicate regularly with tenant representatives, escalating issues only when they cannot be resolved locally. Serve as the primary point of contact for tenants, providing guidance on the day-to-day physical operations of the building(s). Assist in establishing and managing service charge budgets, quarterly variance reporting, and reconciliation in accordance with accepted accounting practices. Support the building's health and safety and environmental sustainability initiatives. Assist in managing the building's equipment and systems, taking responsibility for building management systems where applicable. Help implement minor housekeeping tasks. Prepare site regulations and issue permits for all contractor activities on-site. Establish and maintain accurate site records in line with best practice standards. Visit properties according to the site visit schedule issued by the Lead Facilities Manager.Required Qualifications, Skills, and Experience
Strong stakeholder management abilities and a clear understanding of business objectives. Previous experience in the property industry or a related field, with client-facing responsibilities or a corporate facilities management background. Proactive in driving operational business improvements. Excellent organizational and communication skills, both verbal and written.
