Job Summary

We are seeking a skilled Receptionist to join our team on a full-time, permanent basis. As a key member of our front-of-house team, you will be responsible for providing exceptional customer service, ensuring a welcoming and professional environment for our clients and building occupants.

Key Responsibilities

  • Provide world-class customer service, responding to client inquiries and resolving issues in a timely and professional manner.
  • Ensure the reception area and communal spaces are clean, tidy, and well-maintained, reflecting positively on FigFlex Offices.
  • Collaborate with the Centre Manager to drive business growth, meeting client expectations and requirements.
  • Contribute to social media initiatives and represent FigFlex Offices at business events, promoting our brand and services.
  • Stay up-to-date with competitor information, ensuring FigFlex Offices remains competitive in the market.
  • Manage day-to-day administration, including handling client communications and overseeing team tasks.
  • Ensure meeting and training rooms are well-maintained, with all necessary equipment and resources available.
  • Conduct regular housekeeping checks, maintaining high standards of cleanliness and safety across all floors, kitchens, and toilets.
  • Work closely with the building management team to support business functions, ensuring standards are maintained and all functions have adequate coverage.
  • Liaise with maintenance providers regarding any building issues, adhering to company policies and procedures.
  • Prepare weekly and monthly reports on centre performance, providing valuable insights to the Business Operations & Strategy Manager.
  • Collaborate with the financial controller on matters related to payments, invoices, and client queries.
  • Escalate payment issues in line with procedure, demonstrating a thorough understanding of business policies and procedures.

Requirements

  • Basic knowledge of Microsoft systems, including Outlook, Excel, and Word.
  • Ability to use other computer systems, such as Technology Within and Qube.
  • Relevant experience in the serviced office or office relocation sector is highly desirable but not essential.
  • Strong communication and interpersonal skills, with the ability to work independently and as part of a team.
  • Flexibility and adaptability, with a willingness to learn and take on new challenges.
