We are seeking an Office Administration Coordinator to become a vital part of our team at Queensview Medical Centre. This role presents an excellent opportunity for the right individual to join a welcoming and collaborative environment.
The position encompasses a diverse range of responsibilities related to office administration. Proficiency in computer applications and strong communication abilities are essential. While prior experience in a healthcare setting is beneficial, it is not a prerequisite. We value enthusiasm, initiative, a willingness to learn, and a commitment to quality and precision. Comprehensive training will be provided, along with opportunities for professional growth.
Work Schedule
This role requires a commitment of 30 hours per week, from Monday to Friday.
Key Responsibilities
The primary duties of this position include:
- Accurate entry of data into patient records to ensure effective communication with patients and external organizations.
- Scanning and coding of confidential documents into patient files.
- Addressing inquiries from patients and external entities.
- Assisting the clinical team with correspondence, reports, and inquiries.
- Collaborating with the administrative team to complete tasks and report any issues to the team leader.
- Performing additional reasonable tasks as assigned by Team Leaders to maintain high-quality service for patients.
- Managing referrals, clinic letters, appointments, and general communication with patients and healthcare professionals.
- Participating in mandatory training sessions, both internal and external.
- Executing other duties as required.
- Booking appointments and adhering to established protocols.
- Handling confidential safeguarding documents.
- Communicating with patients to schedule appointments.
