Key Responsibilities of the Proposal Coordinator:

  • Manage the proposal submission process, ensuring a clear understanding of evaluation criteria and submission requirements.
  • Collaborate with the pre-contract team to produce high-quality proposals, including submission documents, presentation materials, and capability statements that align with our branding standards.
  • Navigate client portals to gather tender information and manage the submission of proposals.
  • Maintain a comprehensive log of project opportunities and ensure all related information is current in internal systems.
  • Edit and format final materials to adhere to branding guidelines.
  • Regularly update a repository of standard Pre-Qualification Questionnaires (PQQ) and tender responses, including CVs and case studies.
  • Work closely with the broader bid team to develop competitive proposals.
  • Create graphics to enhance PQQ and tender submissions.
  • Provide administrative support to the bid team as needed.
  • Assist in crafting content for both internal and external communications, ensuring a consistent brand identity and effective messaging.

Proposal Coordinator Qualifications:

  • At least 2 years of experience in a similar position.
  • Proficient in Microsoft Office Suite and Adobe InDesign.
  • Ability to manage multiple tasks and meet tight deadlines.
  • Experienced in proofreading and editing for clarity and accuracy.
  • Strong communication skills and a collaborative approach to building relationships across teams.
  • Excellent organizational skills with a keen attention to detail.
  • A proactive and adaptable individual, capable of both leading initiatives and following directions.
