Job Summary:
We are seeking a highly skilled and experienced Senior Receptionist to join our team at Next Employment. As a Senior Receptionist, you will be the first point of contact for all visitors, staff, and stakeholders, ensuring an exceptional level of customer service is delivered at all times.
Key Responsibilities:
- Provide a warm and welcoming experience for all visitors, staff, and stakeholders.
- Manage the front desk and ensure all office services are provided in a timely and efficient manner.
- Ensure all meeting organizers and hosts are aware of their guests' arrival and provide escort services as needed.
- Address all incoming telephone calls, emails, and enquiries promptly and professionally.
- Manage meeting room bookings and requests, reporting any issues to the Workplace Management Team.
- Support and assist with the set-up of meeting rooms and provide hospitality assistance as needed.
- Be security conscious and approve access to authorized visitors and staff members for restricted areas.
- Actively engage with colleagues and clients to ensure a seamless service experience.
- Anticipate office users' needs and follow up to ensure expectations are met and where possible exceeded.
Workplace Management:
- Ensure a daily handover is provided by the Client Host Team and shared with the wider team.
- Prepare all relevant areas for opening, including reception, café, and kitchens.
- Carry out regular checks and floor walks to ensure all internal areas, including meeting rooms, lobbies, and terrace areas, remain clean and tidy.
- Ensure the terrace area is opened every morning and closed by the end of the day.
- Log and report housekeeping and maintenance issues as needed.
Administrative Tasks:
- Ensure all new starters receive their induction on their first day and are comfortable with booking their visitors and meetings.
- Manage the onboarding and off-boarding process for all employees on various platforms.
- Allocate, manage, and distribute lockers.
- Manage office and building access passes.
- Assist with event bookings, including food ordering and providing support with client events.
- Ensure an appropriate stock of stationery is available and complete regular stock takes.
- Ensure all office deliveries are distributed in a timely manner.
- Support on collating facilities management reports regarding service usage and service issues.
- Assist with booking taxis and couriers, as well as archiving documents within the department.
- Complete all daily post, ensuring the right procedure is followed.
- Responsible for all stationery needs in the office, ensuring we stay true to our ESG goals.
