Position Overview

An exceptional opportunity has emerged within the healthcare sector to deliver operational and senior administrative assistance to various services within a clinical division. This role is pivotal in ensuring the operational execution of a high-quality, efficient, and patient-focused service, aligning with both national and local Key Performance Indicators (KPIs).

The successful candidate will provide operational assistance to the service leadership team, facilitating the seamless operation of the service. This position will specifically aid the Operations and Performance Manager in overseeing administrative teams and functions, managing waiting lists, and scheduling patients to guarantee that KPIs and national healthcare standards are achieved, utilizing available resources to ensure effective patient care.

Main Responsibilities

1. Collaborate actively with the Group Management team to formulate robust business strategies for services.

2. Work closely with the operational management team to enhance patient care by identifying and addressing opportunities for improvement in quality.

3. Assist the Operations and Performance Manager in gathering capacity data to inform service demand and capacity planning.

4. Ensure the establishment of effective systems for the appraisal and ongoing development of all administrative and clerical personnel within relevant services, in accordance with the Knowledge and Skills Framework.

5. Manage both inpatient and outpatient waiting lists effectively, ensuring optimal utilization of hospital resources by liaising with Clinical Coordinators, Consultants, Health Records staff, Medical Secretaries, Operational Managers, Out-Patients, Private Patient services, and Ward Managers.

Job Responsibilities

1. Analyze, manipulate, and interpret waiting list data to support planning and performance processes, ensuring effective resource management.

2. Collaborate with the Operations and Performance Manager to monitor monthly performance metrics and compliance with key performance targets.

3. Manage cancelled admissions and operations to ensure rescheduled appointments meet patient charter standards.

4. Work alongside Clinical Support Services Group to assess outpatient clinic and theatre utilization for optimal resource use.

5. Communicate sensitive and complex information effectively across all departmental levels.

6. Assist the management team with coordination of clinical leave requests, travel arrangements, and expense claims, ensuring adherence to Trust policies.

7. Support the management of patient complaints and incidents in accordance with Trust Policy.

8. Provide management cover in collaboration with the Operations and Performance Manager, serving as an active member of the Service Leadership Team.

9. Organize workshops, training sessions, meetings, and team-building events as required to support team development.

10. Aid in the development and implementation of business standard operating procedures, continuity plans, and standard working documents as necessary.
