Job Summary:

We are seeking a highly organized and detail-oriented Maintenance Administrator to join our team at ROSE & YOUNG RECRUITMENT LTD. As a key member of our operations team, you will be responsible for coordinating and managing maintenance activities, ensuring seamless communication with clients, landlords, and contractors.

Key Responsibilities:

  • Coordinate and schedule maintenance activities, including gas safety and electrical inspections, and ensure timely completion of tasks.
  • Manage the key system, ensuring all keys are accounted for and returned promptly.
  • Organize and maintain a comprehensive contractor database, ensuring all necessary certifications and insurance policies are up-to-date.
  • Provide exceptional customer service, responding to inquiries and resolving issues in a professional and timely manner.
  • Assist with ad-hoc duties, such as key cutting and liaison with contractors.
  • Manage the diary, ensuring all appointments and tasks are scheduled and completed efficiently.
  • Produce property particulars and window cards, ensuring accurate and up-to-date information.
  • Ensure the office is manned at all times, providing coverage for colleagues as needed.
  • Maintain accurate system notes, documenting all interactions, telephone calls, and emails.
  • Book inventories and checkouts, as instructed by the Lettings Manager/Negotiator.
  • Notify utility companies and council tax departments of changes in tenancy and meter readings.
  • Draft new tenancy paperwork, ensuring accuracy and compliance.

Requirements:

  • Previous administration experience, preferably in a maintenance or facilities role.
  • Excellent MS Office skills, including Word and Excel.
  • Strong verbal and written communication skills, with the ability to build rapport with clients and colleagues.
  • Valid car driver's license.
