Receptionist and Administrative Officer

We are seeking a highly organised and compassionate individual to join our team as a Receptionist and Administrative Officer. This role is crucial in ensuring the smooth and efficient running of our day-to-day operations.

Key Responsibilities:
  • Reception Duties:
    • Welcome visitors and clients with professionalism.
    • Manage phone calls, provide information, and direct calls to relevant staff members.
    • Effectively manage calendars for relevant personnel.
    • Receive and distribute mail and packages, and prepare outgoing mail and courier services.
  • Administrative Support Duties:
    • Assist with filing, data entry, attendance log, company calendar, and maintaining organised records and databases.
    • Monitor and manage supplies inventory, reorder as necessary, and ensure well-maintained records and monitoring.
    • Assist in organising and coordinating events, meetings, and workshops, including preparation of materials and environments.
    • Support the preparation of reports, presentations, and other documents as required.
    • Reconcile petty cash and act as the first responder for invoice queries as required by the Financial Controller.
  • Additional Responsibilities:
    • Collaborate with other team members to ensure effective communication and coordination within the organisation.
    • Provide administrative support as needed and directed by the Senior Leadership Team, including preparing correspondence and handling confidential information.
Requirements:
  • Education: GCSEs or equivalent, Maths & English essential; additional qualifications in office administration or a related field are advantageous.
  • Experience: Proven experience in a receptionist or administrative support role.
  • Skills: Outstanding verbal and written communication skills, strong organisational and multitasking abilities, proficiency in Microsoft Office Suite, and ability to handle sensitive and confidential information with discretion.
