We are seeking a highly organised and compassionate individual to join our team as a Receptionist and Administrative Officer. This role is crucial in ensuring the smooth and efficient running of our day-to-day operations.
Key Responsibilities:- Reception Duties:
- Welcome visitors and clients with professionalism.
- Manage phone calls, provide information, and direct calls to relevant staff members.
- Effectively manage calendars for relevant personnel.
- Receive and distribute mail and packages, and prepare outgoing mail and courier services.
- Administrative Support Duties:
- Assist with filing, data entry, attendance log, company calendar, and maintaining organised records and databases.
- Monitor and manage supplies inventory, reorder as necessary, and ensure well-maintained records and monitoring.
- Assist in organising and coordinating events, meetings, and workshops, including preparation of materials and environments.
- Support the preparation of reports, presentations, and other documents as required.
- Reconcile petty cash and act as the first responder for invoice queries as required by the Financial Controller.
- Additional Responsibilities:
- Collaborate with other team members to ensure effective communication and coordination within the organisation.
- Provide administrative support as needed and directed by the Senior Leadership Team, including preparing correspondence and handling confidential information.
- Education: GCSEs or equivalent, Maths & English essential; additional qualifications in office administration or a related field are advantageous.
- Experience: Proven experience in a receptionist or administrative support role.
- Skills: Outstanding verbal and written communication skills, strong organisational and multitasking abilities, proficiency in Microsoft Office Suite, and ability to handle sensitive and confidential information with discretion.
